Employees

Overview

The Employees submodule is used to create and manage employee records in Caddayn Biller. It stores employee details and controls the branches, modules, submodules, and departments each employee can access.

Administrators can search, filter, add, and update employee records from this page.

Interface Overview

The Employees page provides the following controls:

  • Search by Name – Find employees using their name.

  • Filter – Filter employees by status, department, location, or address.

  • Refresh – Reload the latest employee records.

  • Add Employee – Create a new employee record.

  • Action Menu (⋮) – Manage an existing employee record (for eg. activate/deactivate an employee).

The employee list displays:

  • Employee Code

  • Employee Name and Email

  • Address

  • Mobile Number

  • Status

Employee status is displayed as Active or Inactive which is managed from the Action Menu (⋮).

Creating an Employee

To create a new employee:

  1. Open Master Data → Employees.

  2. Click Add Employee.

  3. Complete the required details in the Personal tab.

  4. Configure Branch Access.

  5. Configure Permissions.

  6. Click Save.

Personal Information

The Personal tab contains the following fields:

Field

Description

Employee Image

Upload an employee image. The maximum file size is 3 MB.

Employee Name

Name of the employee. This field is required.

Employee Email

Email address of the employee. This field is required.

Phone

Primary contact number with country code. This field is required.

Date of Birth

Employee’s date of birth. This field is required.

Alternate Phone

Secondary contact number.

Country

Employee’s country. This field is required.

State or Province

Employee’s state or province. This field is required.

Address

Employee’s address. This field is required.

Configuring Branch Access

The Branch Access tab controls the branches that an employee can access.

To configure branch access:

  1. Open the Branch Access tab.

  2. Select the branches assigned to the employee.

  3. Review the selected branches.

  4. Save the employee record.

Branch access should be configured according to the employee’s responsibilities and assigned work locations.

The Permissions tab controls the modules and functions available to an employee.

Lead Management

Create and manage sales leads and track their progress.

Master

Manage items, suppliers, branches, customers, discounts, offers, tables, visitor management, vehicle management, departments, create modules, and employees.

Operations

Manage appointments, tasks, workflows, and attendance tracking.

Printer Templates

Customize, preview, and print document templates.

Purchase

Manage purchases, returned purchases, stock, and stock transfers.

Quotations

Create, manage, and track sales quotations.

Reports

Generate, view, and download general, overview, Caddayn, day book, and GST reports.

Sales

Manage Point of Sale, item returns, and bill history.

Workforce Operation

Manage shifts, holidays, and leave requests.

Submodule Permissions

Each permission group can be expanded to configure access to individual submodules. This allows administrators to assign more specific permissions instead of granting access to an entire module.

Note: This way you can select only the modules and submodules required for the employee’s role.


Assigning Departments

Departments must be created before they can be assigned to employees.

Departments cannot be assigned during the initial employee creation process. The employee must first be saved.

To assign a department:

  1. Create the required department under the appropriate Master Data section.

  2. Create and save the employee record.

  3. Open the employee’s Action Menu (⋮).

  4. Select Edit.

  5. Open the Departments tab.

  6. Select the required department.

  7. Save the changes.

Editing an Employee

To update an employee:

  1. Locate the employee in the Employees list.

  2. Open the Action Menu (⋮).

  3. Select Edit.

  4. Update the Personal details, Branch Access, Permissions, or Departments.

  5. Click Save.

Deleting an Employee

To remove an Employee:

  1. Locate the Employee from the list.

  2. Click the ⋮ menu.

  3. Select Delete.

  4. Confirm the deletion.

Production Notes

  • Required personal information must be completed before saving an employee.

  • Branch Access controls the branches available to the employee.

  • Permissions control the modules and operations the employee can use.

  • Submodule permissions allow more detailed access control.

  • Departments must be created before they can be assigned.

  • Always save the employee first before assigning departments.
