How can the process of manage returned items from customers and track their bill history?
1. How to Manage Returned Items and Track Bill History
1. Processing Customer Returns
When a customer returns a product, the return should be recorded against the original sales transaction in the CADDAYN application. This ensures that the returned item, quantity, reason, and amount are properly linked to the original bill.
Returns may occur due to mistakes or issues related to the product or transaction.
2. Finding the Original Bill
When a customer purchases a product, the sale is processed through the Point of Sale (POS) section of the CADDAYN application. After the transaction is completed, the customer receives a bill containing a unique Bill Number.
When the customer returns a product after a few days:
Go to the Return Items section.
Enter the Bill Number from the original purchase.
If the Bill Number is not available, use Bill History to locate the original bill.
Search using available details such as the date, time, or item name.
Select the correct bill and obtain the corresponding Bill Number.
3. Entering Return Details
After identifying the original bill, enter the required return information.
The return details include:
Bill Number – Select the bill associated with the original transaction.
Branch – Select the relevant branch.
Item – Select the product being returned.
Quantity – Enter the actual quantity returned by the customer.
Return Reason – Specify the reason for the return.
Return Amount – Enter the applicable return amount.
Proceed Return – Confirm and process the return.
4. Managing the Returned Quantity
The returned quantity should be entered according to the actual quantity returned by the customer.
The return quantity:
Can vary depending on the customer's return.
Does not have to be the same as the total quantity originally purchased.
Must not exceed the quantity available from the original transaction.
For example, if a customer originally purchased 5 units but returns only 2 units, the return quantity should be recorded as 2.
5. Managing the Return Amount
The return amount should be entered according to the actual return being processed.
The return amount does not necessarily have to be the same as the total amount of the original purchase when only part of the purchase is being returned.
Before confirming the return, verify that the return amount is correct and corresponds to the items and quantity being returned.
6. Verifying the Return Before Confirmation
Before selecting Proceed Return, carefully verify all the return details.
Check the following:
Bill Number
Branch
Item
Returned Quantity
Return Reason
Return Amount
This verification helps prevent incorrect return entries and ensures that the return is properly linked to the original transaction.
7. Confirming the Return
After verifying all the information, select Proceed Return to complete the return process.
The returned item is then recorded against the original transaction, allowing the return to be properly tracked in the system.
8. Viewing Bill History
The Bill History section provides a record of the customer's previous purchases and transactions.
The bill history includes information such as:
Purchase Bill Number
Billed By
Total Items
Total Amount
Payment Status
Date and Time
This information can be used to locate and review previous customer transactions.
9. Searching and Viewing Previous Bills
Bill History can be used to search for and view previous bills.
You can use it to:
9.1 Find a Previous Bill
Search for a customer's previous transaction using available bill information such as the bill number, date, time, or item.

10. Complete Return and Bill History Process
The overall process can be summarized as:
Customer Purchase → POS Sale → Bill Generated → Customer Return → Find Original Bill → Verify Item and Quantity → Enter Return Details → Confirm Return → Return Recorded
By linking returned items to the original transaction and maintaining complete bill history, CADDAYN helps ensure accurate return processing and provides easy access to previous customer transactions.
