Income

Overview

The Income module is used to record and manage income entries received by the organization. Each income record captures information such as the income name, amount, income type, branch, recipient, settlement method, description, and income date.

Income types can be selected from existing records or created directly while creating an income entry using Caddayn Biller's inline creation functionality.

Interface Overview

The Income interface displays existing income records in a tabular format.

The main controls and information available include:

  • Search – Search existing income records.

  • Filter – Filter income records using multiple criteria.

  • Refresh – Reload the latest income records.

  • Create New – Add a new income entry.

  • Action Menu (⋮) – Provides options to View, Edit, or Delete an income record.

The income list displays information such as:

Field

Description

Income Code

Unique code assigned to the income entry.

Income Name

Name of the income entry.

Income Type

Type or category associated with the income.

Amount

Total amount recorded for the income.

Branch

Branch associated with the income entry.

Recipient

Person or entity associated with receiving the income.

Settlement Type

Payment or settlement method used for the income.

Description

Additional information provided for the income entry.

Income Date

Date on which the income was recorded.


Managing Income Records

The Action Menu (⋮) available for each income record provides the following options:

  • View – Opens the income record and displays its complete details.

  • Edit – Allows the income information to be modified.

  • Delete – Removes the income record from the system.

The actions available may depend on the user's permissions.


Search & Filter Functionalities

The Search option can be used to quickly locate income records, while the Filter option allows records to be narrowed down based on specific criteria.

Available filters include:

  • Income Type – Filter records by the selected income type.

  • Branch – Filter income entries associated with a particular branch.

  • Start Date – Show income records from a specified date.

  • End Date – Show income records up to a specified date.

  • Settlement Type – Filter based on the settlement method.

  • Created By – Filter records according to the employee who created them.

  • Recipient Type – Filter based on the type of recipient.

  • Minimum Amount – Show records above a specified amount.

  • Maximum Amount – Show records below a specified amount.

  • Payment Type – Filter records according to the payment method used.

These filters can be combined to locate specific income records efficiently.


Creating an Income Entry

To create a new income entry:

  1. Open Accounts → Income.

  2. Click Create New.

  3. Select or enter the required Income Name.

  4. Enter the Amount.

  5. Select the Branch.

  6. Upload an Attachment, if required.

  7. Enter a Description, if required.

  8. Add the required Payment Splits.

  9. Select the Income Type.

  10. Select the Income Date.

  11. Complete the remaining required recipient-related information.

  12. Click Save Changes to create the income entry.

Once saved, the income is added to the income list and assigned a unique Income Code.

Income Fields

Field

Description

Income Name

Name of the income entry. This field is required.

Amount

Total amount associated with the income entry. This field is required.

Branch

Branch associated with the income entry.

Attachment

Supporting document that can be uploaded in PDF or PNG format.

Description

Additional details or notes related to the income.

Payment Splits

Allows the total income amount to be divided across one or more payment methods.

Income Type

Category or type of income being recorded. This field is required.

Income Date

Date on which the income is recorded. This field is required.

Recipient Type

Type of recipient associated with the income entry.

Recipient

Specific person or entity associated with the selected recipient type.


Adding an Attachment

The Attachment field allows supporting documentation to be associated with the income entry during creation.

To add an attachment:

  1. Click the Attachment field.

  2. Select the required file.

  3. Upload the supporting document.

  4. Continue completing the income details and save the record.

The attachment field supports PDF and PNG files.


Managing Payment Splits

The Payment Splits section allows the total income amount to be divided across different payment methods.

This can be useful when a single income entry is settled using multiple payment methods.

To add a payment split:

  1. Select the required Pay Method.

  2. Enter the amount received through that payment method.

  3. Click the + button.

  4. The payment split is added to the list.

  5. Repeat the process to add additional payment methods and amounts.

For example, an income entry can be divided between different supported payment methods rather than recording the entire amount under a single method.

The total payment splits should correspond to the income amount entered for the record.


Selecting an Income Type

The Income Type field is used to categorize the income being recorded.

To select an existing income type:

  1. Click Income Type.

  2. Search for the required income type.

  3. Select the appropriate type from the available records.

  4. Confirm the selection.

Income types allow income entries to be organized according to their purpose or category.


Creating New Income Types

Caddayn Biller supports inline creation of income types directly from the income entry screen.

This allows a new income type to be created without leaving the income creation process.

To create a new income type:

  1. Open the Income Type selector while creating an income entry.

  2. Enter the required new income type in the search field.

  3. If the required type does not already exist, the corresponding Create option is displayed.

  4. Select the create option.

  5. Enter the required income type details.

  6. Save the new income type.

  7. Select the newly created type for the income entry.

The newly created income type becomes available for use in the income entry and can also be selected for future records.


Production Notes

  • Each income entry is assigned a unique Income Code after creation.

  • The ⋮ menu provides View, Edit, and Delete options for each income record.

  • Income records can be searched and filtered using income type, branch, dates, settlement type, creator, recipient type, payment type, and amount ranges.

  • Payment Splits allow a single income amount to be distributed across multiple payment methods.

  • Supporting documents can be attached in PDF or PNG format.

  • Income types can be created directly from the income entry screen using the inline creation functionality.

  • Recipient information can be associated with the appropriate Recipient Type.

  • The Income Date records the date associated with the income entry.
