Inventory
Overview
The Inventory module provides a centralized view of the current stock available across all branches. It enables users to monitor item quantities, selling prices, storage locations, associated brands, branch-wise stock availability, and product expiry dates.
This module helps businesses keep track of inventory levels, identify expiring products, and quickly locate items using search and filtering options. Since inventory data is updated automatically through Purchase, Sales, and Return transactions, this module serves as a real-time stock monitoring dashboard.
Interface Overview
The Inventory page provides the following controls:
Search – Search inventory using the item name.
Filter – Filter inventory records based on branch and expiry date.
Refresh – Reload the latest inventory information.
Expiry Information (ⓘ) – Displays the expiry date color code legend.
The inventory list displays:
Item Name & Code
Available Quantity
Selling Price
Storage Location
Branch Name & Code
Brand Name & Code
Expiry Date
Viewing Inventory
To view inventory details:
Open Inventory from the navigation menu.
Browse the inventory list.
Review the available quantity, selling price, branch, brand, and expiry information for each item.
The inventory list is automatically updated based on business transactions performed throughout the application.
Searching Inventory
To search for an item:
Open the Inventory module.
Enter the item name in the Search box.
Matching inventory records are displayed instantly.
Search allows users to quickly locate stock without manually browsing the inventory list.
Filtering Inventory
The Filter option allows users to narrow inventory records based on specific conditions.
Available filter options include:
Filter | Description |
|---|---|
Branch | Display inventory belonging to a selected branch. |
Expired Before | Show items with expiry dates before the selected date. |
Expired After | Show items with expiry dates after the selected date. |
Hide Out of Stock Items | Exclude items with zero or negative available quantity from the inventory list. |
Filtering helps users quickly identify stock for a particular branch or monitor products based on their expiry dates.
Refreshing Inventory
To refresh inventory information:
Click the Refresh (⟳) button.
The system reloads the latest inventory data from all recorded transactions.
Refreshing ensures that newly purchased, sold, returned, or adjusted stock is reflected in the inventory list.
Understanding Expiry Date Indicators
The Inventory module uses color-coded expiry dates to help users identify products requiring attention.
Color | Meaning |
|---|---|
Red | Item has expired and should no longer be used or sold. |
Yellow | Item is expiring today or within the next 7 days. |
Default (Normal) | Item is not approaching expiry. |
The Expiry Information (ⓘ) icon displays this color legend within the Inventory page.
Note: Only the earliest expiry date with available stock is displayed in the inventory list. If an item has multiple inventory batches, users can select the item to view all available batch expiry dates.
Notes
Inventory quantities are updated automatically through Purchase, Sales, Return, and other inventory-related transactions.
Inventory is maintained separately for each branch, allowing branch-wise stock tracking.
Expiry monitoring helps identify expired products and products nearing expiry before they are sold.
The Hide Out of Stock Items option provides a cleaner view by displaying only items that currently have available stock.
The Inventory module is intended for stock monitoring only; inventory quantities cannot be edited directly from this page.
