Items
Overview
The Items submodule is used to create and manage all products and services available in the business. Every item that is purchased, sold, stocked, or included in reports must first be created here. This module acts as the central product repository for the entire Caddayn Biller application.
The Items page displays all existing items along with important information such as item code, selling price, tax, brand, category, and description. Users can search, filter, create, update, print labels, and delete item records from this page.
Interface Overview
The Items page provides the following controls:
Search – Quickly locate items using keywords.
Filter – Filter items based on available criteria.
Refresh – Reload the latest item records.
Bulk Insert – Import multiple items using a supported CSV file.
Add Item – Create a new item.
Action Menu (⋮) – Available for every item record.
The Action menu contains:

Creating an Item
To create a new item:
Open Master Data → Items.
Click Add Item.
Fill in the required item details.
Click Save.
The following information can be configured while creating an item:

Item Image | Upload an image representing the item. |
Item Name | Name of the product or service. |
Unit | Unit of measurement (Pieces, Kg, Litre, etc.). |
Description | Optional description of the item. |
Item Price | Default selling price of the item. |
Item Location | Physical storage location of the item. |
Brand | Associated brand of the item. |
Category | Item category. |
Tax | Applicable tax percentage. |
HSN Code | HSN code used for taxation. |
Barcode | Manual barcode entry or automatic barcode generation. |
KOT Pricing | Configure Kitchen Order Ticket pricing where applicable. |
After saving, the item becomes available throughout the application, including Sales, Purchase, Inventory, and Reports.
Viewing an Item
To view an item's information:
Locate the required item.
Click the ⋮ menu.
Select View.
The system displays the complete item details in read-only mode.
Editing an Item
To modify an existing item:
Locate the item.
Click the ⋮ menu.
Select Edit.
Update the required information.
Click Save.
The updated information is immediately reflected wherever the item is used.
Printing Item Labels
Item labels can be printed directly from the Items module.
To print labels:
Locate the required item.
Click the ⋮ menu.
Select Print Item Labels.
Enter the quantity of labels to print.
Select the required Printer Template.
Select the destination Printer.
Click Print.
Note: A QR code or barcode printer template must be configured in the Printer Templates module before labels can be printed.
Deleting an Item
To remove an item:
Locate the required item.
Click the ⋮ menu.
Select Delete.
Confirm the deletion.
Deleted items will no longer be available for future transactions. Depending on system rules and user permissions, items associated with existing business transactions may not be eligible for deletion.
Bulk Import
The Bulk Insert option allows multiple items to be added at once using a supported CSV file.
To import items:
Open Master Data → Items.
Click Bulk Insert.
Select the import file.
Verify the imported data.
Complete the import process.
Bulk Import is recommended when setting up a new business or migrating item records from another system.
Note: A sample CSV template is available from the Bulk Insert page. Users can download this template, populate it with item details in the required format, and upload it back into the system to import multiple items successfully.
Note: Before importing, download the sample CSV template provided in the Bulk Insert window. Enter the item details using the same column structure and format, save the file, and then upload it to complete the import. Using the provided template helps prevent validation and import errors.
Searching and Filtering Items
Use the Search box to locate items by name, code, or other searchable information.
Use the Filter option to narrow the displayed records based on available criteria, making it easier to manage large product catalogs.
Notes
Every item should belong to an appropriate Brand, Category, and Unit before it can be used effectively throughout the system.
Tax and HSN information should be configured correctly to ensure accurate billing and GST reporting.
Item labels require a configured printer template before they can be generated.
Changes made to an item are reflected across all modules where that item is referenced.
