Printer Templates

Overview

The Printer Templates module is used to create, manage, preview, and configure document templates used for printing within Caddayn Biller.

Templates can be created manually, imported from the available presets, edited, downloaded, or assigned as the default template for a particular branch and template type.

The module contains two tabs:

  • My Templates – Contains templates added or imported by the user.

  • Presets – Contains pre-made templates provided by the application.


Interface Overview

The My Templates tab displays all templates currently available for use.

Common controls include:

  • Search – Search templates by template name.

  • Refresh – Reload the latest template records.

  • Template Variables – View the available variables that can be inserted into DOCX templates.

  • Add Template – Add a new custom template.

  • Template Name – Click the template name to preview the template and download it locally if required.

  • Action Menu (⋮) – Provides options to set a template as default, edit it, or delete it.

Templates are displayed along with their:

  • Code

  • Template Name

  • Template Type


The module supports three template types:

Template Type

Purpose

Billing

Used for printing billing documents.

Quotation

Used for printing quotations.

Item Label

Used for printing item labels.

Adding a Template

The Add Template option is used to add a new custom DOCX template.

To add a template:

  1. Open Printer Templates.

  2. Click Add Template.

  3. Upload the required Template File in DOCX format.

  4. Enter the Template Name.

  5. Select the required Template Type.

  6. Click Save.

The new template is then added to My Templates and is then ready for use.


Previewing a Template

Templates can be previewed directly from the My Templates list.

To preview a template:

  1. Locate the required template.

  2. Click the Template Name.

  3. The template preview is displayed.

  4. The template can also be downloaded locally when required.

This allows the user to verify the template before using or modifying it.


Managing Templates

The Action Menu (⋮) available for each template provides the following options:

  • Set Default

  • Edit

  • Delete

Setting a Default Template

The Set Default option allows a template to be assigned as the default template for a particular branch and template type.

When Set Default is selected, the application prompts the user to specify the relevant branch and template type before saving the configuration.

To set a default template:

  1. Locate the required template.

  2. Click the ⋮ menu.

  3. Select Set Default.

  4. Select the required Branch.

  5. Select the applicable Type.

  6. Save the configuration.

The selected template will then be used as the default for the configured branch and document type.

Note: A valid printer template should be configured before attempting to print documents such as quotations or item labels. An incorrectly configured or missing template may result in a printing error.


Editing a Template

The Edit option allows an existing template to be updated.

To edit a template:

  1. Locate the required template.

  2. Click the ⋮ menu.

  3. Select Edit.

  4. Modify the required information such as Template Name.

  5. Upload a new DOCX file if the template file has been manually modified.

  6. Change the template type if required.

  7. Click Save Changes.


This is especially useful when a template has been modified externally and the updated DOCX file needs to replace the existing version.


Template Variables

The Template Variables feature provides the variable codes required to connect a DOCX template with data stored in Caddayn Biller.

When creating a template, the system needs to know which application value should be inserted into each location in the document. Template variables provide this connection.

For example, a template may need to display the Customer Name, Bill Amount, or Quantity. The corresponding variable code can be copied from the Template Variables window and inserted into the appropriate location in the DOCX file.

The available variables are organized according to template type:

  • Billing

  • Quotation

  • Item Label

Using Template Variables

To configure variables in a DOCX template:

  1. Open Printer Templates.

  2. Click the Template Variables button.

  3. Select the required template type.

  4. Locate the required variable.

  5. Click the Copy button beside the variable.

  6. Open the DOCX template you are working on.

  7. Paste the copied variable code at the location where the corresponding value should appear.

  8. Repeat the process for every required application value.

  9. Save the DOCX file.

  10. Add the new template using Add Template option in Printer Templates module.

The variable codes allow the system to replace the configured placeholders with the corresponding real-time application data when the document is generated.

Note: Template variables must be placed correctly within the DOCX file. If a required variable is missing or incorrectly configured, the corresponding value may not appear correctly in the generated document and could cause errors.


Deleting a Template

The Delete option permanently removes a template from the available templates.

To delete a template:

  1. Locate the required template.

  2. Click the ⋮ menu.

  3. Select Delete.

  4. Confirm the deletion.


Warning: Delete templates carefully. If a template is currently being used or configured elsewhere in the application, removing it may cause issues when the associated document is printed.


Presets

The Presets tab contains pre-made DOCX templates provided by the application.

These templates can be used directly or downloaded and customized according to the user's requirements.

The Presets tab allows users to access templates without having to create the entire DOCX layout from scratch.

Using a Preset Directly

If the preset already meets the required printing format, it can be imported directly into My Templates.

To use a preset:

  1. Open the Presets tab.

  2. Locate the required template.

  3. Click the ⋮ menu.

  4. Select Import to My Templates.

  5. The preset is added to My Templates.

  6. The imported template can then be used like any other template.


Customizing a Preset

A preset can also be customized to suit specific requirements.

To customize a preset:

  1. Open the Presets tab.

  2. Download the required preset DOCX file.

  3. Modify the DOCX template according to the required layout or design.

  4. Configure the required template variables.

  5. Save the customized DOCX file.

  6. Add it as a new template using the Add Template option in My Templates.

  7. Enter the template name and select the appropriate template type.

  8. Upload the customized DOCX file.

  9. Click Save.

The customized version is then stored as a separate template in My Templates.


Production Notes

  • All printer templates are maintained in DOCX format.

  • Supported template types are Billing, Quotation, and Item Label.

  • Template Variables must be inserted into the DOCX file to connect document fields with real-time application data.

  • A template can be previewed and downloaded by clicking its template name.

  • Default templates can be configured for a specific branch and template type.

  • Presets can either be imported directly into My Templates or downloaded, customized, and added as a new template.

  • Templates should not be deleted if they are currently being used elsewhere in the application.

  • A valid template should be configured before using printing features that depend on it, such as Print Quotation.
