Purchase

Overview

The Purchase submodule is used to view and manage purchase records created in Caddayn Biller. It provides a centralized view of purchases along with information such as supplier, branch, bill amount, pending amount, payment method, and creation date.

Users can search purchase records, apply filters, view detailed purchase information, and print item labels associated with a purchase.

Interface Overview

The Purchase page provides the following controls:

  • Search – Search purchase records using the purchase bill number.

  • Filter – Filter purchase records based on the available criteria.

  • Refresh – Reload the latest purchase records.

  • Create New – Create a new purchase record.

  • Action Menu (⋮) – View or print labels for a purchase record.

The purchase list displays:

  • Purchase Code

  • Purchase Bill Number

  • Supplier Name and Code

  • Branch Name and Code

  • Bill Amount

  • Pending Amount

  • Payment Method

  • Created At

The Action menu contains:

  • View

  • Print Item Labels


Viewing a Purchase

To view the complete details of a purchase:

  1. Locate the required purchase record.

  2. Click the ⋮ menu.

  3. Select View.

The Purchase Details window displays the purchase summary along with the items included in the purchase.

Purchase Information

The purchase summary includes information such as:

Supplier

Supplier associated with the purchase.

Purchase Bill Number

Bill number provided for the purchase.

Purchase Code

Unique code assigned to the purchase record.

Branch

Branch associated with the purchase.

Bill Amount

Total amount of the purchase bill.

Pending Amount

Amount remaining to be paid for the purchase.

Payment Method

Payment method used for the purchase.

Total Landing Cost

Total landing cost associated with the purchase.

Created At

Date and time when the purchase was created.

Payment Proof

Uploaded payment proof, where available.

Purchased Items

The details window displays each items included in the purchase with information such as:

Field

Description

Item Names & Codes

Name and code of the purchased item.

Item Purchase Codes

Purchase-specific code assigned to the item.

Brand Name

Brand associated with the item.

Batch

Batch number associated with the purchased item, where applicable.

HSN Code

HSN code of the item.

Buying Price

Price at which the item was purchased, including the displayed purchase tax information.

Quantity

Quantity purchased along with the item's unit.

Selling Price

Selling price configured for the purchased item, along with applicable tax information.

MFG

Manufacturing date of the item, where available.

Expiry

Expiry date of the item, where applicable.

Total Price

Total purchase value of the item.


The Grand Total at the bottom of the window displays the total value of the purchase.


Printing Item Labels

Item labels for products included in a purchase can be printed directly from the Purchase module.

To print item labels:

  1. Locate the required purchase record.

  2. Click the ⋮ menu.

  3. Select Print Item Labels.

  4. Select the items for which labels need to be printed.

  5. Adjust the Quantity to Print using the − and + controls or enter the required quantity.

  6. Review the selected printer template and printer.

  7. Click Print.

The print window displays the selected items along with their Item Purchase Code and the quantity of labels to be printed. The total number of print jobs is also displayed.

Note: Make sure the correct Printer Template and Printer are selected and configured in the application settings before clicking Print. Selecting the wrong template or printer may result in incorrectly formatted labels or the labels being sent to the wrong printing device.


Searching and Filtering Purchases

Use the Search box to locate purchase records using the Purchase Bill Number.

Use the Filter option to narrow down the displayed purchase records based on the available filter criteria, making it easier to locate a specific purchase.


Notes

  • Each purchase record is associated with a specific Supplier and Branch.

  • The Pending Amount indicates the amount that remains unpaid for the purchase.

  • Detailed purchase information, including individual purchased items, can be viewed through the View option.

  • Item labels can be printed directly from an existing purchase record.

  • The number of labels to be printed can be adjusted from the Print Item Labels window.

  • Ensure the correct Printer Template and Printer are configured before printing labels.

  • Purchase item details such as batch, manufacturing date, and expiry date are displayed where applicable.
