Return Item

Overview

The Return Item submodule under Sales is used to record items returned by customers against previously generated sales bills. Users can select the relevant bill, choose the items being returned, specify the returned quantity, enter the return reason and return amount, and then confirm the return.

Once the return is processed, the return is recorded and becomes available in the Return Item list.

Interface Overview

The Return Item interface displays existing item-return records in a tabular format.

The main controls available include:

  • Search – Search existing return records.

  • Filter – Filter return records using customer and date-based criteria.

  • Refresh – Reload the latest return records.

  • Create New – Create a new item-return record.

  • Action Menu (⋮) – Provides the available actions for an existing return record, based on the user's permissions.

The return list displays the following information:

Field

Description

Return Code

Unique code assigned to the return transaction.

Bill Number

Sales bill number against which the return was created.

Customer Name

Customer associated with the original sales bill.

Return Price

Total amount recorded for the returned items.

Returned At

Date and time when the return was recorded.


Search & Filter Functionalities

The search bar can be used to locate existing return records.

The Filter option allows return records to be narrowed down using the following criteria:

  • Customer – Filter returns associated with a specific customer.

  • Returned Before – Show returns recorded before a specified date.

  • Returned After – Show returns recorded after a specified date.

These filters can be combined to locate specific return transactions.


Creating a Return

To create a new item return:

  1. Open Sales → Return Item.

  2. Click Create New.

  3. Select the relevant Bill Number from the available sales bills.

  4. Select the required Branch. The current branch is selected by default.

  5. Click the + button to load the items included in the selected bill.

  6. Select the item or items that are being returned.

  7. The selected items are added to the return list.

  8. Enter the Quantity being returned for each selected item.

  9. Enter the Return Reason for each item.

  10. Enter the Return Amount for each returned item.

  11. Verify the return details and the calculated return total.

  12. Click Proceed Return to confirm the return.

Once the operation is completed, a new return record is created and appears in the Return Item list.


Selecting Items for Return

After selecting the bill and branch, the + button can be used to view the items included in the selected sales bill.

Only the items that are actually being returned need to be selected.

Once an item is selected, it is added to the return list, where its return details can be entered.

The return list provides information such as:

Field

Description

Item Purchase Code

Purchase/reference code associated with the item.

Item Name

Name of the item being returned.

Batch Name & Code

Batch information associated with the item, where available.

Quantity

Quantity of the item being returned.

Total Price

Price associated with the selected quantity.

Return Reason

Reason for returning the item.

Return Amount

Amount recorded for the return.


Completing the Return

After all returned items and their details have been entered:

  1. Verify the selected bill and branch.

  2. Check the returned quantities.

  3. Verify the return reasons and amounts.

  4. Review the Return Total.

  5. Click Proceed Return.

The return is then processed and a new Return Code is generated for the transaction.


Production Notes

  • Each completed return is assigned a unique Return Code.

  • Returns are created against an existing sales Bill Number.

  • The current branch is selected by default when creating a return.

  • Multiple items from the selected bill can be returned within the same transaction.

  • The quantity returned can be specified separately for each item.

  • A return reason and return amount are entered for the returned item.

  • The Return Total displays the combined return amount for the transaction.

  • Return records can be searched and filtered by customer and return date.

  • The Proceed Return button confirms and creates the return transaction.
