Stock Transfer
Overview
The Stock Transfer submodule is used to request the movement of stock between different branches within the organization. It provides a controlled transfer process where one user can initiate a transfer request and another authorized user can approve or reject it.
The module contains three tabs:
Pending Transfer – Displays transfer requests that are awaiting approval or rejection.
Approved – Displays transfer requests that have been approved.
Rejected – Displays transfer requests that have been rejected.
By default, the Pending Transfer tab is displayed when the module is opened.
Interface Overview
Each tab displays stock transfer records with relevant information about the transfer.
Common controls available in the module include:
Search – Search for transfer records.
Refresh – Reload the latest transfer records.
Filter – Filter records based on available criteria such as Requested By, Requested After, and Requested Before.
New Transfer – Create a new stock transfer request.
Action Menu (⋮) – Provides actions available for the selected transfer based on the user's permissions.

Pending Transfer
The Pending Transfer tab contains stock transfer requests that have been initiated but are still awaiting action from an authorized user.
The action menu for a pending transfer may provide:
Accept
Reject
View
Delete
The available actions depend on the user's permission level.
Note: The user who creates a stock transfer request cannot approve or reject the same request.
Searching and Filtering Transfers
The transfer records can be located using the Search and Filter controls.
Available filtering options include:
Requested By – Filter transfers based on the user who created the request.
Requested After – Display transfers requested after a specified date.
Requested Before – Display transfers requested before a specified date.
These filters can be used to locate specific transfer requests across the available records.
Creating a Stock Transfer
To initiate a stock transfer:
Open Purchase → Stock Transfer.
Click New Transfer.
Select the From Branch.
Select the To Branch.
Enter Notes, if required.
Click the + button to add items.
Select the required items.
Specify the required Quantity for each item.
Add additional items when required.
Use the Delete option beside an item to remove it from the transfer.
Review the transfer details.
Click Transfer Now to submit the request.
Branch Selection
The From Branch represents the branch from which the stock will be transferred.
The To Branch represents the destination branch receiving the stock.
Note: The source and destination branches cannot be the same. The application does not allow a stock transfer between the same branch.
Stock Transfer Details
The transfer creation screen contains the branch information, optional notes, and the list of items being transferred.

Quantity | Number of units to be transferred. |
Unit Price | Unit price of the selected item. |
Total | Total value calculated for the selected quantity. |
Submitting a Transfer Request
After all required items have been added, clicking Transfer Now submits the stock transfer request.
The request is not immediately approved. Instead, a new record is created under Pending Transfer.
Once a user initiates a transfer, another authorized user must review and either accept or reject it. The application prevents the requester from approving or rejecting their own transfer.
Accepting a Transfer
An authorized user can accept a pending transfer from the Pending Transfer tab.
To accept a transfer:
Open Pending Transfer.
Locate the required transfer.
Click the ⋮ menu.
Select Accept.
Add remarks if required.
Confirm the action.
Once accepted, the transfer is moved from Pending Transfer to the Approved tab.
Rejecting a Transfer
A pending transfer can be rejected by an authorized user when the transfer should not be processed.
To reject a transfer:
Open Pending Transfer.
Locate the required transfer.
Click the ⋮ menu.
Select Reject.
Enter remarks, if required.
Confirm the rejection.
The rejected transfer is then moved to the Rejected tab.
Approved Transfers
The Approved tab contains transfer requests that have been successfully accepted.
The records retain the transfer details, including the transfer code, requester, remarks, and creation information.
For approved transfers, the ⋮ menu provides the View option to inspect the transfer details.
No further approval or rejection action is available from this tab.
Rejected Transfers
The Rejected tab contains transfer requests that have been rejected by an authorized user.
The records retain the relevant transfer information and rejection remarks where applicable.
The ⋮ menu provides the View option for reviewing the transfer details.
No further approval or rejection action is available from this tab.
Production Notes
Stock transfers are initiated as pending requests and require action from another authorized user.
The requester cannot approve or reject their own stock transfer.
The From Branch and To Branch must be different.
Notes can be added to provide additional information about the transfer.
Multiple items can be added to a single transfer request.
The quantity of each item can be adjusted before submitting the request.
Individual items can be removed from a transfer before submission.
Approved and Rejected transfers are available for viewing after the request has been processed.
Remarks can be added when accepting or rejecting a transfer.
Available actions depend on the user's assigned permissions.
